stepbase

Quick Start Guide

Get started with stepbase - create your first app in minutes with visual designer, forms, and conditional routing.

What you'll build

By the end of this guide you'll have a working approval Flow with intake form, conditional routing, and team assignments.

Create your workspace

Sign up and create your workspace. Invite team members with Owner, Admin, or Member roles.

  • Sign up at stepbase
  • Your workspace is created automatically
  • Invite team members from Dashboard > Users

Create your first flow

Navigate to Dashboard > Flows and click “Create Flow”. Give it a name and description.

Tip: Start with a simple 3-stage flow: Submit > Review > Complete. You can always add complexity later.

Design the Flow

The visual designer opens automatically. You'll see a blank canvas with a library of building blocks on the left. Each one is a different kind of step you can drop into your Flow.

  • Drag a Form Block (where people fill in a request) onto the canvas for your intake step
  • Drag a Review Block (where someone approves or rejects) for the review step
  • Drag a Status Block (the marker for the final outcome) for the end of the flow
  • Connect them by dragging from one block's handle to the next

Click any block to open its settings on the right.

Build a form

Click on your intake stage and go to the Forms tab. Create a new form with fields for your process (e.g., request title, amount, description).

  • 18 field types available
  • Add validation rules (required, min/max, patterns)
  • Set field widths for layout control

Choose who reviews each step

Click on your review step and go to the Assignments tab. Pick the person, team, or role that should handle this step.

Note: If you assign to a team, the task lands in a shared queue. Whoever picks it up first owns it. No one else will see it.

Add a decision

Drag a Condition Block (a decision point shaped like a diamond) between your steps to have stepbase route work automatically based on the form data.

  • Set up paths like "Amount < $1,000 → Auto Approve"
  • "Amount ≥ $1,000 → Manager Review"
  • Mark one path as the default fallback, or give every path its own rule

Publish and test

Click "Publish" in the toolbar. The flow is now live and appears in the "Start a Flow" list on the dashboard.

Start a test instance to walk through the flow end-to-end.

Next steps

  • Add more stages and conditional routing
  • Connect external APIs with HTTP Connectors
  • Set SLA deadlines for each stage
  • Review audit trails for compliance
