Form Builder

Build structured data collection forms for any stage of your Flow.

Overview

Use the Form Builder anywhere you need to ask for information: collecting a budget amount before review, gathering documents from an applicant, or capturing a reviewer's comments. Forms attach to any stage of your Flow.

Each form follows the same access rules as the stage it's attached to, and every answer is saved into the Flow's shared record so later steps can use it.

Validation

Each field supports validation rules that are enforced before submission.

  • Required -- field must be filled
  • Min/Max length -- for text fields
  • Min/Max value -- for number fields
  • Regex pattern -- custom format validation with error messages
  • File type restrictions -- accepted MIME types for uploads
  • File size limits -- maximum upload size

Layout

Control form layout with field width settings.

  • Full width -- field spans the entire row
  • Half width -- two fields side by side
  • Third width -- three fields in a row
Tip: Use Section fields to group related fields visually and improve form readability.

Attaching a form to a stage

You attach a form to a stage from the Forms tab in the configuration panel. How the form shows up depends on the kind of stage:

  • Intake stage: the form collects the information needed to start the Flow
  • Review stage: the form is optional. If you skip it, reviewers get quick approve/reject buttons straight from their task list
  • Multi-review stage: each reviewer sees the same form and fills it in independently
Note: Table and File Upload fields are available on paid plans. Photo and Voice fields work on every plan.

Where the answers go

When someone submits a form, the answers are saved as part of that stage's record in the Flow. Later steps can pull any of those answers into their own conditions, forms, or notifications.

Because answers stay grouped with the stage that collected them, you always know who provided which piece of information, useful for audits and for tracing how a decision was made.
