App template · Public intake

Applications screened by the office that owns the programme, scored by every reviewer against one rubric, and decided by the director, on a board and a dashboard the whole office reads.

What arrives

One click puts all of it in your workspace, wired together. Rename anything afterwards — the pages, boards and Flows read the columns, not a copy of them.

What runs

Each of these is a Form and the Flow behind it. Steps wait for a person; Rules decide which person, on what the row says.

Admissions Review

Someone submits the form

Applications screened by the office that owns the programme, scored by every reviewer against one rubric, and decided by the director, with the decision written onto the application.

What it is

Applicant tracking for an admissions office, with the review inside it rather than beside it.

An applicant fills in a public form. Which office screens it depends on the programme they picked. Every reviewer scores it against the same rubric, the committee records one view, the director decides, and the decision lands on the application as a column the board and the dashboard read.

What you get

A public form with nothing to log into. The applicant gives their details, a personal statement, a transcript and a CV, and gets an email as the file moves.

Screening assigned by programme. A Rule reads the programme the applicant chose. Undergraduate applications go to Undergraduate Admissions, masters and doctoral to Graduate Admissions, certificates to Continuing Education. Nobody forwards anything; the answer on the form does.

Scoring by every reviewer, in parallel. Each faculty reviewer gets their own task and their own copy of the rubric, and the committee sees them side by side.

A committee score and a director's decision, on the record. The committee records one overall score with its reasoning. The director records Offer, Waitlist or Declined with reasoning kept on file, and a Rule ends the application on the matching Outcome. The applicant sees the Outcome; the reasoning stays inside.

A home page for the office. How many applications are being screened, with reviewers and awaiting a decision, and the ones waiting on you or your office.

A board by programme. The Applications table opens on every open application in the lane of its programme, with its status, its intake and its committee score on the card. Open a card for the file, the files attached to it, and every Step it has been through. Decided shows the rest.

A programmes table the applications hang off. Each programme carries its intake term, its places and the office that screens for it. Open one to see its applications and the offers made against it.

A dashboard for the office. All applications, still open, offers made against places this intake, by programme and by decision.

The pattern worth stealing

The decision is a column on the row, written by the Step that makes it. That is what lets a board, a chart and a related list all agree about it without a second place to keep it up to date. The Rule that reads the same column to end the application is the only Rule you need after a decision Step.

What it expects from your workspace

Nothing to set up first. Five reviewers arrive as placeholders you map to real people and teams before publishing: Undergraduate Admissions, Graduate Admissions, Continuing Education, Faculty Reviewers, Admissions Committee and the Director of Admissions. Add your programmes to the Programmes table, one row each, with the option applicants pick on the form.
